Do changes made by one user show up for others automatically?

Yes. Everyone logged into the same practice account shares a live connection, so appointments, session notes, new clients, and completed intakes appear for other users without refreshing.

What updates in real time?

Creating, editing, rescheduling, or cancelling appointments; saving session notes; adding a new client; and a client completing or a therapist viewing an intake. Updates apply quietly and live — a new appointment simply appears on the calendar.

Can a colleague see my encrypted private notes when they sync?

No. End-to-end encrypted notes travel as ciphertext. A colleague’s browser receives the update but can only read it if they hold the encryption key. Without the key it stays locked and unreadable.

What if my connection drops?

ShrinkNotes reconnects automatically. Changes made by others while you were disconnected aren’t replayed, so refreshing the page is the reliable way to resync after being offline.

How does syncing work?

While you’re logged in, your browser holds a live connection to ShrinkNotes. When anyone on your account makes a change, ShrinkNotes pushes it to every other logged-in user on that account, and it appears in place. There’s no popup to dismiss — a new appointment simply shows on the calendar, a completed intake appears in your sidebar, and so on.

What updates live?

What about my encrypted private notes?

Real-time sync never weakens your encryption. End-to-end encrypted notes are sent as ciphertext; a colleague’s browser receives the update but can only read the content if they hold the key. Without it, the note stays locked — consistent with how private notes are protected per practitioner.

What happens if I lose connection?

ShrinkNotes reconnects on its own within a few seconds. However, changes other people made while you were disconnected aren’t replayed after you reconnect, so if you’ve been offline, refresh the page to pull the latest for certain.
