When an appointment needs attention
ShrinkNotes nudges you about past appointments that still have loose ends, so nothing slips through — an unwritten note, an unrecorded charge, or an unpaid session.
Where do I see that something needs attention?
Two places, driven by the same idea:
- Unresolved Sessions — a list on your home page of past appointments that still need something. Click one to jump straight to the next step.
- Orange band — a colored stripe on the left edge of a past appointment card that still has open work.
What makes an appointment need attention?
An appointment is flagged when it is in the past and at least one of these is still true:
- Its session note hasn’t been recorded yet.
- Its charge hasn’t been recorded.
- It has an unpaid charge (and the charge isn’t $0).
Note that a missing CPT code does not make an appointment need attention — only notes, charges, and payments do.
What clears the flag?
- Record the session note.
- Record the charge, and record payment (or set the charge to $0).
- Mark the appointment a no-show.
- If payment is the only thing outstanding, mute the client’s balance.
- Archive the client — their appointments drop off the list.
What about no-shows?
A no-show is treated as resolved: it’s left out of the Unresolved Sessions list, and its card shows a white band rather than the orange one — so you can still spot it at a glance without it counting as open work.
