Muting a client’s balance

Some clients carry a balance you don’t need to be reminded about — a sliding-scale arrangement, a write-off you’ll handle later, or a payment plan. Muting a balance quiets the reminders without changing the numbers.

What does “Mute balance” do?

Muting a balance is a notification setting, not a change to the money. When a client’s balance is muted:

  • They stop appearing in the Balances reminders on your home page.
  • Past sessions whose only open item is a missing payment stop showing up as needing attention.

The balance itself is untouched and still visible on the client’s profile, with a small muted-notifications icon next to the amount so you know it’s muted. Nothing is written off, hidden from records, or deleted.

How do I mute or unmute a balance?

Open the client’s actions menu and choose Mute balance. You’ll see a quick confirmation explaining that the balance stays negative but you’ll no longer get reminders about it. To reverse it, open the same menu and choose Unmute balance. It’s fully reversible and you can toggle it any time.

Related: muting only silences balance reminders. A session that still needs a note or a recorded charge will keep showing up — see When an appointment needs attention.
